Position Overview:
The Program Lead – Recreation & Community Life reports to the Director of Programs and works closely with other program leads to ensure a cohesive and well-coordinated member experience across all aspects of the Friends Together program.
This role plays a central leadership function in designing, overseeing, and evolving the Social & Recreational Program at Friends Together. This includes ownership of the current alumni programming, which will serve as the foundation for the future Social & Recreational Program as the full site and program model are developed.
The Program Lead is responsible for building a dynamic mix of structured and informal opportunities that support connection, belonging, and meaningful engagement both on-site and in the broader community.
As part of a startup initiative, this position will be heavily involved in program design, systems development, and operational planning, helping to establish the structure, schedule, and overall approach to recreation and community life programming.
This role maintains a consistent on-site presence during peak programming hours, primarily in the afternoons, evenings, and weekends, and is responsible for ensuring the safe and effective operation of programming during those times.
Key Responsbilities:
Program Development & Implementation
- Design, develop, and oversee the Social & Recreational Program, including a comprehensive calendar of recreational and social programming:

- Ensure that all incidents occurring during social and recreational programming are identified, documented, and reported in a timely and accurate manner, in alignment with program policies
- Establish and reinforce clear expectations for staff regarding incident identification, documentation, and escalation during social program hours
- Ensure appropriate documentation practices are in place for all participants, including those who are not enrolled in the day program
Cross-Program Coordination
- Ensure effective communication and continuity between daytime and evening/weekend programming, including sharing relevant information related to member needs, incidents, and participation patterns
- Collaborate with the Advising and Day Supports teams to support a consistent and informed approach to member support across all program components
Schedule Expectations
- This position is expected to operate primarily during peak program hours, including:
- Weekdays: approximately 12:00 PM – 8:00 PM
- Weekends: regular coverage required (schedule to be determined)
- Typical days off are expected to be Monday and Tuesday, depending on programmatic need
- Flexibility is required based on program needs, events, and seasonal variation
Startup Responsibilities

The Program Lead will supervise the Member Advisor team and is accountable for ensuring that Advisors effectively carry out their responsibilities, including person-centered planning, service plan development, documentation, coordination with external stakeholders, and support of member participation across the program. This role is central to operationalizing person-centered practices at scale while maintaining strong compliance with MassHealth and DDS requirements.
Friends Together is currently in a startup phase. This role offers a unique opportunity to have a substantial impact on the development and design of the program, including building core systems, shaping team structure, and establishing foundational practices. At the same time, the startup environment requires flexibility, initiative, and a willingness to take on responsibilities beyond the formal scope of the role as needs emerge. The Program Lead is expected to operate with a high level of ownership and adaptability, including contributing to program operations, supporting team members, and stepping in wherever needed to ensure program success.

Incident Reporting, Risk Management & System Oversight
- Serve as the central coordinator for the incident reporting process, ensuring timely, accurate, and complete documentation and follow-up
- Ensure Advisors understand and meet expectations related to incident identification, documentation, and escalation
- Enter or oversee entry of reportable incidents into required state systems (e.g., HCSIS) as applicable
- Ensure alignment with program policies, safety practices, and regulatory requirements
Admissions, Intake, & Onboarding
- Take a leadership role in coordinating the admissions and intake process in collaboration with program leadership

- Possess strong organizational and time management skills, excellent communication skills (written and verbal), the ability to multi-task, self-initiate, be flexible, show attention to detail and possess the ability to be resourceful and problem solve in a fast-paced environment.
- Strong technical proficiency, including advanced skills in Google Workspace and Microsoft Office. Primary Duties & Responsibilities:
- Handle interoffice/departmental communications, correspondence, word processing duties and Residential Office tasks.
- Provide phone coverage, oversee all-call announcements, manage departmental mail, packages, student discretionary funds, emails, etc.
- Support staffing coverage for dormitory shifts; assist with scheduling and troubleshooting coverage needs.
- Assist in preparing and maintaining the Residential Whiteboard and Coverage Needs.
- Enter data into the Residential Office’s/Riverview’s databases and designated programs.
- Prepare schedules and sign-in sheets for residential orientation and in-services.

- Coordinate /distribute visiting student welcome packets and signage.

- Process and follow up on verbal or written communication in a timely and effective manner, always mindful of confidentiality.
- Maintain Student Information, Vehicle Grid and Chaperone/Vehicle Books. Ensuring information is up to date and communicating pertinent information, as needed. Prepare chaperone books as needed with phones and keys.
- Collaborate with Health Care staff on oversight of weekend Student Medication Distribution.
- Oversee and communicate weekend meal counts, breakfast counts monthly and/or specific dated requests to Food Services.
- Assist with preparation and management of student allowances.
- Oversee the management of outside services. Such as, but not limited to, E&R Laundry Service, Nail Services, etc.
- Understand and represent the “big picture” of school management when considering student, parent and faculty needs in school discussions pertaining to staff assignment/utilization and/or interpretation of School policy.
- Conduct oneself with professionalism, respect, and sound judgment in all interactions; maintain a neat, appropriate appearance aligned with school dress guidelines and role expectations.
- Demonstrate flexibility and responsiveness to students, parents and colleagues, especially in matters when the school’s philosophy pertaining to “in loco parentis” is involved.
- Complete additional assignments as directed by Residential Office Manager or School Leadership including but not limited to daily office assignments, support with events e.g., Travel Days, Family Weekends, Emergency Management.
- All other duties as assigned.

- CPR certified or ability to obtain within 6 months of hire
- Ability to navigate a large campus with extended walking distances; climbing stairs,
